Payroll Specialist II
Carex is partnering with a biotech industry partner to hire a Payroll Specialist II. This role is responsible for supporting accurate and timely payroll processing while maintaining employee pay records within ADP and Workday systems. The Payroll Specialist II will serve as a key contributor to payroll operations, provide back-up support to payroll leadership, and mentor junior payroll team members. The ideal candidate brings strong attention to detail, payroll systems knowledge, and the ability to manage confidential information in a fast-paced environment.
Pay rate: $35-40/hr + Carex benefits
Duration: 6 months+
Location: Hybrid in Madison, WI
What You'll Do
- Assist in the accurate and timely processing of U.S. payrolls
- Cross-train with the Lead Payroll Specialist to provide back-up support for payroll processes
- Process new hire integrations from Workday and maintain employee pay-related records in ADP
- Review daily integration files from Workday for accuracy and communicate potential issues to the Workday team
- Update payroll records including tax withholding changes, HSA contributions, and direct deposit information
- Partner with Human Resources regarding leaves of absence and related payroll deductions
- Assist in resolving payroll discrepancies and employee payroll inquiries
- Import employee timecards and support timely manager approvals for hourly payroll processing
- Review and import time off files from Workday into ADP
- Assist with the distribution of employee pay statements
- Support payroll tax account registrations and maintain compliance with taxing agencies
- Assist with month-end and quarter-end payroll accrual preparation for Accounting
- Monitor and respond to inquiries within the shared Payroll email inbox
- Prepare payroll reports and related documentation as needed
- Assist with HSA enrollments using Workday enrollment reports
- Maintain knowledge of multi-state payroll tax laws, benefit programs, and company payroll policies
- Support employment verification requests and audit inquiries
- Maintain the Auto Allowance payment file
- Ensure confidentiality of sensitive employee and payroll information
- Support company quality standards, policies, and procedures
- Demonstrate accountability, teamwork, adaptability, and professionalism in daily responsibilities
What You'll Bring
- Experience supporting payroll processing in a multi-state environment
- Working knowledge of ADP payroll systems and Workday integrations
- Understanding of payroll tax laws, deductions, HSA/FSA programs, and payroll compliance requirements
- Strong attention to detail and organizational skills
- Ability to manage confidential information with discretion
- Strong verbal and written communication skills
- Ability to work collaboratively across Payroll, HR, and Accounting teams
- Comfortable working in a fast-paced and evolving environment
- Ability to prioritize tasks and manage multiple responsibilities effectively
- Proficiency with Microsoft Office and payroll-related reporting
- Ability to mentor and support junior payroll team members
- Reliable attendance and ability to work primarily at a computer workstation throughout the day
