Carex is partnering with a Healthcare industry partner to identify a highly specialized Communications & Change Management Contractor to lead strategic communications for a major electronic health record (EHR) system implementation. This individual will serve as the primary communications architect throughout the EHR transition, developing and executing comprehensive communication strategies for both internal stakeholders and patients. The ideal candidate brings deep healthcare communications expertise and proven experience supporting full-cycle EHR implementations while guiding clinical teams through change and maintaining patient confidence throughout the transition. This is a fully remote contract opportunity.

What You'll Do
- Develop and execute a comprehensive change management communications strategy aligned with all phases of the EHR implementation, including planning, activation, and stabilization.
- Create targeted communications for clinicians, operational teams, billing teams, and other key stakeholder groups.
- Build and manage a communications calendar encompassing email campaigns, intranet content, newsletters, leadership forums, and other communication channels.
- Partner with clinical, operational, and technology leaders to ensure messaging accuracy, consistency, and alignment.
- Develop proactive communications to address stakeholder concerns, resistance management, and training requirements.
- Create leadership talking points, FAQs, communication toolkits, and cascade messaging resources for organizational leaders.
- Produce high-quality content across multiple internal communication channels.
- Develop and execute a patient-facing communications strategy focused on scheduling impacts, patient portal transitions, medical records access, billing changes, and continuity of care.
- Write and manage patient communications including portal announcements, website content, newsletters, FAQs, and phone messaging.
- Collaborate with operations, marketing, and customer support teams to ensure consistent messaging across all patient touchpoints.
- Anticipate and address patient concerns related to portal migration, downtime procedures, appointment communications, and records access.
- Maintain a master communications plan with milestone-driven deliverables tied to project timelines.
- Establish communication review and approval processes involving clinical, operational, technology, legal, compliance, and executive stakeholders.
- Measure communication effectiveness through engagement metrics, surveys, and stakeholder feedback.
- Provide regular status updates, risk assessments, and stakeholder sentiment reporting to project leadership.
- Conduct post-go-live communications assessments and develop transition plans for ongoing communications ownership.
What You'll Bring
- Bachelor’s degree required.
- 6–10 years of healthcare communications experience.
- Experience supporting at least two full-cycle EHR implementation communications engagements involving platforms such as Epic, Oracle Health/Cerner, MEDITECH, athenahealth, or similar systems.
- Demonstrated success developing both clinician-facing change management communications and patient-facing communications within EHR transformation initiatives.
- Exceptional writing, editing, and storytelling skills with extensive experience creating polished, audience-specific communications materials.
- Strong knowledge of AP style and professional communications standards.
- Portfolio demonstrating high-quality communications work.
- Experience managing multi-channel communication campaigns across email, intranet, patient portals, print materials, and verbal communication channels.
- Ability to translate complex technical, operational, and workflow changes into clear, actionable messaging for diverse audiences.
- Strong project management skills with the ability to manage competing priorities in fast-paced, high-visibility environments.
- Excellent stakeholder management and interpersonal skills with experience collaborating across all organizational levels.
- Ability to work independently while maintaining strong cross-functional partnerships and accountability.
- Experience measuring communication effectiveness and leveraging insights to improve stakeholder engagement.
