Carex is partnering with a Healthcare industry partner to hire an Onboarding Specialist. This strategic, relationship-focused role is responsible for guiding new clinicians through the pre-start onboarding journey, ensuring a high-touch, compliant, and well-coordinated experience from offer acceptance through Day 1. The Onboarding Specialist serves as the primary point of contact for clinicians while partnering cross-functionally to support operational readiness, timely starts, and a positive onboarding experience.

What You'll Do

  • Own the end-to-end onboarding experience for licensed and/or credentialed clinicians from signed offer through start date.
  • Serve as the primary point of contact for clinicians, providing proactive communication, guidance, and support throughout onboarding.
  • Conduct welcome conversations to introduce onboarding milestones, expectations, and organizational culture.
  • Anticipate and resolve onboarding questions, concerns, and barriers that could impact start dates.
  • Ensure completion and accuracy of onboarding and compliance requirements, including background checks, I-9 verification, and employment documentation.
  • Maintain adherence to onboarding workflows, regulatory standards, and healthcare-related compliance requirements.
  • Track onboarding progress and ensure all requirements are completed prior to Day 1.
  • Update and maintain records within HRIS and ATS platforms, including systems such as Workday and Salesforce.
  • Partner cross-functionally with Credentialing, HR, Recruiting, Training, Marketing, and Operations teams to support onboarding readiness.
  • Coordinate dependencies related to licensure, credentialing, training, and operational setup.
  • Provide updates to hiring managers and leadership regarding onboarding progress, risks, and potential delays.
  • Pull, analyze, and maintain onboarding and hiring data to provide visibility into pipeline health and onboarding trends.
  • Develop reports related to hiring status, onboarding progress, and start-date readiness.
  • Identify onboarding bottlenecks, delayed starts, or rescind risks and proactively escalate insights to stakeholders.
  • Support continuous improvement initiatives focused on onboarding efficiency, clinician experience, and cross-functional collaboration.
  • Stay informed on trends, best practices, and compliance requirements related to healthcare and behavioral health onboarding.

What You'll Bring

  • Bachelor’s degree in Human Resources, Healthcare Administration, Business, or a related field preferred; equivalent experience considered.
  • 2–4 years of experience in onboarding, HR coordination, recruiting coordination, credentialing, healthcare administration, or a related function.
  • Experience supporting healthcare or behavioral health clinicians preferred.
  • Proficiency with HRIS, ATS, and reporting platforms such as Workday, Salesforce, or similar systems.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Service-oriented mindset with a focus on delivering a positive onboarding experience.
  • Ability to analyze data and communicate insights effectively.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to maintain confidentiality and professionalism while handling sensitive information.
  • Collaborative mindset with strong problem-solving and follow-through capabilities.
