Carex is partnering with a Heathcare industry partner to hire a seasoned Technical Project Manager – Data Conversion & Archival to lead the Data Conversion and Archival Workstream within an enterprise EHR Transition Program. This role is accountable for the end-to-end planning and execution of legacy data migration, conversion, and archival activities to ensure a safe, compliant, and accurate transition of patient, clinical, and operational data to a new EHR platform. The ideal candidate brings deep expertise in healthcare data governance, ETL processes, and clinical data integrity across large-scale EHR migrations.
What You’ll Do
- Lead end-to-end project management for the Data Conversion and Archival Workstream, including scope definition, workplans, resource planning, risk mitigation, and executive-level reporting.
- Develop and maintain the data conversion strategy, defining which data elements will be migrated versus archived and the appropriate methodology for each legacy source system.
- Oversee legacy data extraction, transformation, and load (ETL) processes, ensuring accuracy, completeness, and adherence to clinical and regulatory standards.
- Coordinate data mapping activities with clinical, compliance, and operational stakeholders to ensure fidelity of converted data.
- Establish data acceptance criteria and sign-off protocols in partnership with clinical, compliance, and operational teams.
- Collaborate with the EHR vendor and legacy system vendors to validate conversion specifications, mapping documents, and data dictionaries.
- Develop and execute the data cutover plan, including data freeze dates, conversion windows, rollback procedures, and go-live validation checkpoints.
- Track data quality issues, defect trends, and reconciliation metrics; escalate and drive resolution to prevent go-live risks.
- Ensure all conversion and archival activities comply with HIPAA, state privacy regulations, and organizational data governance policies.
- Provide regular workstream status updates, risk logs, and milestone reporting to the Program Director and governance bodies.
What You’ll Bring
- Hands-on experience leading data conversion workstreams for 3+ enterprise-scale EHR migrations or replacements.
- 5+ years of technical project management experience in healthcare IT, with a focus on data migration and conversion initiatives.
- Strong knowledge of clinical data domains, including demographics, clinical documentation, orders, results, medications, problem lists, allergies, and billing data.
- Proven experience managing ETL workflows, data mapping specifications, and transformation logic in healthcare environments.
- Familiarity with HL7 FHIR, CCD/CDA, and other clinical data exchange standards as applied to data conversion.
- Demonstrated success managing large-scale data quality reconciliation between source and target systems.
- Proficiency with project management tools such as MS Project, Smartsheet, Jira, or similar platforms.
- Exceptional cross-functional collaboration skills, with the ability to engage clinical, technical, compliance, and operational partners.
- Preferred experience with athenahealth (athenaOne) data conversions, including import tools, conversion specifications, and mock conversions.
- Experience converting data from systems such as AMD, Epic, Cerner, NextGen, or eClinicalWorks.
- Exposure to HIPAA data retention requirements, state-specific record retention laws, ROI workflows, data governance frameworks, and clinical data stewardship programs.
- Working knowledge of SQL or data profiling tools to support validation and reconciliation activities.
